Scope and responsible company
This Policy applies to our websites, the Studio, purchases, support communications, manuscript projects, Manuscript purchases that include a Complete Cover credit, Message Extenders™, cover creation, and other services operated by Spine & Stature Inc.
Information we collect
- Account and contact information: name, email, authentication details, preferences, and communications.
- Transaction information: selected plan or service, price, credits, billing status, receipts, refunds, cancellations, and gift-recipient details. Payment providers process payment-card data; we do not need to store complete card numbers.
- Customer content: manuscripts, sermons, speeches, recordings, transcripts, notes, images, biographies, publishing details, feedback, approvals, and files created during a project.
- Author Intelligence and project information: Message Insights™, Author DNA™, book blueprints, review history, project status, and Studio interactions.
- Technical information: device, browser, IP address, approximate location derived from IP, timestamps, cookies, security events, diagnostic information, and page or feature usage.
- Acceptance records: policy versions, displayed notices, checkboxes, clicks, date and time, account identity, and related evidence of electronic consent.
- Product accountability records: source-authorization status, source-version details, recorded editorial assistance, grouped publication decisions, publishing-path selection, cover-image provenance, and final-artifact archive information for finalized products.
How we use information
- Provide, personalize, secure, and support services and customer accounts.
- Process purchases, issue and track credits, deliver gifts, and administer refunds and cancellations.
- Analyze, organize, edit, format, and generate requested project materials.
- Communicate about projects, service changes, account security, policies, and support.
- Detect fraud, misuse, infringement, security threats, and violations of our Terms.
- Comply with legal obligations, resolve disputes, enforce agreements, and maintain business records.
- Improve reliability, accessibility, workflows, and customer experience using appropriately limited operational information, without adding customer project content to S&S model training.
AI and service providers
We may transmit necessary customer content and instructions to contracted technology providers that support AI-assisted editorial development, file processing, private storage, hosting, authentication, analytics, communications, payments, security, and customer support. Providers receive only the information reasonably needed to perform services for us and are subject to contractual or legal obligations appropriate to their role.
Spine & Stature does not sell manuscripts or other customer content as commercial content, does not authorize providers to use customer content for their own unrelated marketing, and does not add customer project content to S&S model training. Provider processing, retention, output rights, and deletion may be governed by their agreements with Spine & Stature and applicable law. This does not control unrelated third-party scraping or training after an author independently publishes work elsewhere.
Content Intake, connected accounts, and original media
Content Intake requires an affirmative confirmation that you own the material or have permission to use it before processing begins. You may upload supported recordings and original videos. Direct supported audio files are limited to 24 MB. MP3 recordings up to 250 MB may be transferred in temporary sections for transcription; those sections are removed after transcription succeeds or fails and expire if unfinished. Original MP4, MPEG, and WebM videos up to 250 MB stay in your browser while the Studio prepares a compact audio track for transcription. The original video is not uploaded to the Studio's temporary-media storage.
If you choose optional on-screen-text extraction for an original video, the Studio sends a limited set of sampled frames solely to read visible text such as slides, scripture, quotations, and title cards. The extracted text is marked for review, and the Studio can hold back screen text that substantially duplicates the spoken transcript from the same video. Raw videos and sampled frames are not saved as project files.
You may also connect Google/YouTube or Meta through the Studio only after you authorize the connection. The YouTube importer shows available videos and retrieves captions for videos you select; it does not download YouTube video or audio. The Meta importer reads written Facebook Page posts and captions from a professional Instagram account linked to that Page. It does not download social-media video or audio. Imported captions, post text, transcripts, or reviewed on-screen text become project content only after you select or approve them.
Cookies and similar technologies
We use essential cookies and local storage for authentication, cart functionality, preferences, security, and service continuity. This Services Site and the Studio do not use customer manuscripts, recordings, videos, captions, or source text for Meta or Google advertising analytics. If we add optional tracking technologies in the future, we will provide the applicable notice and choices before enabling them.
When information may be disclosed
We may disclose information to contracted providers; at your direction; in connection with a merger, financing, acquisition, reorganization, or sale of assets subject to appropriate protections; or when reasonably necessary to comply with law, protect rights or safety, investigate fraud, enforce agreements, or respond to lawful process. We do not disclose private customer content publicly without authorization unless legally required.
Retention and project deletion
We retain information for as long as reasonably needed to provide services, maintain records, resolve disputes, enforce agreements, meet legal and tax obligations, prevent fraud, and protect the service. Standalone credits have a one-year purchase-based use window. After valid use of a credit, Studio access for that work continues for 90 days from the use date; the latest valid use determines the current post-use access period. Earlier purchases remain subject to the terms accepted at purchase.
Final product files and their matching AI Use & Editorial Development Records are retained in private, owner-scoped archive storage with recorded checksums and an independent archive mirror while retained under our operational and legal recordkeeping needs. Completed products remain available in Project Library after Studio creation access ends. We may close access to uncompleted work and delete or de-identify source files and working project materials after access ends without an obligation to restore them. Account, transaction, consent, security, archive, and legal records may be retained longer.
You can disconnect YouTube, Facebook, or Instagram from Content Intake. Disconnecting removes the Studio's connection access and the selected connected-account source text from the active Studio project. You may also use the Studio's data controls page to request completed-project or account-level deletion.
Security
We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information. No online service or storage system can be guaranteed completely secure. Protect your credentials and notify us promptly if you suspect unauthorized account activity.
Your choices and requests
You may request access to, correction of, or deletion of certain personal information by emailing info@spineandstature.co or using our contact form. We may verify your identity and may retain information when legally permitted or required, including transaction, security, consent, and dispute records. You may unsubscribe from optional marketing while continuing to receive essential service communications.
Children and sensitive information
The services are intended for adults and are not directed to children under 13. Do not submit another person’s sensitive personal, medical, financial, confidential, or identifying information unless you have lawful authority and it is necessary for the project. Contact us if you believe a child submitted personal information without appropriate authorization.
International use
Spine & Stature operates from the United States. If you access the services from another country, information may be processed and stored in the United States and other locations used by contracted providers, where data-protection laws may differ.
Policy changes and contact
We may update this Policy to reflect changes in law, technology, providers, or services. The effective date identifies the current version. Material changes will be communicated when required.
